trip responsibilities


briefs (Belinda (2), Travis, Yin Yin):
  • We have added 4 more organizations/speakers, so you will write short briefs for each of them. They do not have to be as long as the regular briefs, since we will be spending less time with them. Look for a separate email with details. The briefs are due Saturday, 3/22 at 5pm.

buying food on Saturday (Dania, Sean, Shelly, Sophia):
  • you will be buying food for breakfast, dinner on Sun & Mon, and non-perishable BBQ items. Plan for it to go from 2-4pm on Saturday, 3/22.

dinner cook (Sun: Shelly (lead), Sean, Susan. Mon: Dania (lead), Leah, Sophia) :
  • leaders were chosen based on who could come shopping on Saturday, and decided arbitrarily between Sean and Shelly. Leaders will coordinate planning a meal for 15 people, taking into account dietary needs (look for a separate email on these). You are encouraged to plan together; the leader is simply the point person.
  • the leader is responsible for sending Sophia a menu and CCing Travis by Friday, 3/21 at 5pm.

dinner clean: (Sun: Belinda, Shazad. Mon: Catherine, Travis):
  • you will clean up after we've all eaten. Pretty straightforward, and easy to do with Columbae's dishwashing sinks & Hobart.

drivers (David, Kalvin, Sean, Wes):
  • 4 driving shifts are assigned each day, and everyone gets a day off (except Kalvin, who does two double shifts). You will get a list of all the places we're going, the mileage, and driving directions. You can coordinate amongst yourselves as to where you want to trade off the shifts each day. You will have an opportunity on Sunday afternoon to get behind the wheel and get a sense for the vehicles before we have to drive anywhere.

thank yous (Catherine, Susan, Michael):
  • We will be visiting 19 organizations & speakers, so each person will write 6, and 1 person will write 7 letters. It is perfectly fine to create a template letter and put in a sentence or two to personalize each one. After you've written the body of each letter, pass them around so everyone can add little notes. How you divide up the organizations & speakers is up to you, and we recommend that you write them the day that we visit them so it's fresh in you memory. We will be providing stationary and stamps, but please bring a nice pen.

BBQ (Wes, Yin Yin):
  • You will coordinate the BBQ on Friday 3/28. We will have a grill and are buying charcoal. We will buy non-perishables on Saturday 3/23, and perishables on Friday 3/28. Keep in mind that we have 2 vegetarians, 1 person who doesn't eat seafood, and 1 person who doesn't eat pork. Please submit a list of non-perishables you want us to buy to Sophia, CC'ing Travis by Friday 3/22 at midnight.

navigator (Leah):
  • We have a GPS device for each van (2), which you will pre-program for all our trips. Kalvin and Sophia will be keeping track of time, but you are also responsible for making sure we get in the vans on time to get to our next destination. You will get a printout of all addresses

lead cleaning (Michael):
  • you will divide up cleaning responsibilities amongst the group (everyone will help clean) and do final sweeps to make sure we haven't left anything and that we've been respectful of the spaces that have been graciously lent to us. This is particularly important on Monday evening/Tuesday morning when we leave Columbae, and Thursday evening/Friday morning when we leave the apartment in Berkeley.

blogs/photos (David, Shazad):
  • While you are free to divide this up however you wish, it is intended that Shazad take on more of the work, as David is also responsible driving every day. You will write an entry each day, covering what we experienced and reflecting on what we've learned. We intent to share our learning with the wider Stanford community when we return, and this will be an important component of that project. Take pictures to illustrate what you write. You don't have to compose this on a computer/bring a laptop, though you may find it easier to do so. We won't have internet access every place that we go, so you will post when you can. Any entries that aren't posted during the trip should be posted before the end of break. The entries will be hosted a section of the wiki.

reflection activities (Yin Yin):
  • In collaboration with Kalvin and Sophia, you will plan and lead reflection activities every evening. Be creative with this - for example, you can give people a writing prompt for 20 min, then bring everyone back together to discuss what they wrote. You might do large group discussions, mixed with small group discussions. You could do a brainstorm of how people would describe the day, or a "complete the sentence" activity. You could ask another participant to lead an activity that you have prepared. The goal is to get everyone to think about what they learned that day and where it fits in to the bigger picture. You will also keep track of a group journal (we will provide the notebook) where group members can write, draw, or scrapbook. Look for a separate email with more details.
